— How we work
Our proven method for delivering an ERP aligned with your business, with no tunnel effect and a gradual upskilling of your teams.
Workshops with your teams to understand your real processes (not the ones described in the procedures). We pinpoint the pain points, the duplication, the avoidable manual data entry.
Based on the audit, we define the scope (modules, users, customizations), the detailed schedule, and the validation milestones. This is the stage at which the project package is finalized.
Odoo installation, configuration of the selected modules, adaptation of business rules, creation of custom views, and setup of Luxembourg accounting.
Migration of data from your legacy tools (Excel, old ERP, business software). Cleaning, deduplication, quality control. You validate the migrated data before switchover.
Training sessions by user group based on their role (sales, accounting, logistics, management). We continue the training until you and your teams are fully self-sufficient.
Switch from your legacy tools to Odoo. A stabilization period with enhanced support. Gradual transfer of skills to your in-house team.

— Our pricing commitment
Most ERP integrators bill by the man-day. The scope shifts, the days pile up, the budget blows up. At Advena, we commit differently.
After the audit and scoping phase, we give you a fixed-price quote that commits Advena to a set amount. That amount won't move, no matter how long the project actually takes.
We commit to delivering a functional solution that meets your specifications. If the configuration takes longer than expected, that is our problem. Not yours.
You sign a package. You receive that package. If new needs arise during the project (a change in scope), we submit a transparent amendment to you before starting the work.

— FAQ · Odoo ERP
12 answers to the technical questions we are asked most often.
Odoo has three distinctive advantages for an SME. First, it is modular: you only pay for the modules you use, unlike monolithic ERPs that force you to take complete blocks. Second, it is open source: no proprietary lock-in, and your data stays yours. Third, it combines ERP and CRM natively, which avoids the complex integration between 2 separate tools. For mid-market companies with specific needs (heavy industry, banking, insurance), SAP or other solutions may still be relevant.
We install Odoo 19, the current stable version (released in September 2025). It natively embeds AI across every module, a redesigned interface, and a certified Luxembourg localization. Odoo 20 will be released in September 2026. The deployments we are doing now on Odoo 19 can be migrated to v20 in 2027 once the version has stabilized.
Odoo Community is the free, open-source version, with the core modules and no official Odoo support. It can be enough for very simple uses but quickly shows its limits. Odoo Enterprise (available in Standard and Custom editions) is paid (a per-user subscription) but includes all the advanced modules, official support, updates, AI, and managed hosting. Almost all Luxembourg SMEs choose Enterprise. We'll advise you based on your intended use and your budget. Odoo Community or Enterprise in Luxembourg.
Between 2 and 4 weeks for a Starter project (2-3 simple modules), 6 to 8 weeks for a Business project (4-6 modules with customizations and data migration), 10 to 14 weeks for a Complete project (full transformation with custom modules). These timelines may vary depending on the scope of the project and your teams' availability during the audit and validation phases. They include the audit, scoping, configuration, migration, training, and go-live.
Yes, migrating your existing data is included in our Business and Complete services, and available as an option for the Starter. We bring over your customer, supplier and product databases, along with your sales and purchase history, from your current tools (Excel, an existing ERP such as Sage or QuickBooks, a separate CRM). The migration phase includes cleanup, deduplication and validation on your end before go-live. succeeding with your Odoo migration in Luxembourg.
Yes, training is a key deliverable at every integration level. We run sessions by user profile (sales, accounting, logistics, management), with a customized manual and tutorials for recurring cases. We keep training until you and your teams are fully autonomous, not a one-off session ticked off a schedule. The Odoo 19 interface is designed to be intuitive, but human guidance is what separates an ERP that's adopted from one that's merely endured.
Yes, fully. Odoo natively includes the Luxembourg chart of accounts (PCN), the applicable VAT rates, regulatory reports (balance sheet, income statement) and the FAIA export (the audit format required by the Luxembourg authorities). This localization is certified by Odoo SA and maintained with every release.
Yes, Odoo offers a native Website module (which we can use to build your site), or you can connect an existing site (WordPress, Shopify, custom site) through APIs. We develop the connectors you need based on your setup. This integration is generally included in the Complete tier or billed separately for the Business tier.
Three options depending on your project and your constraints: Odoo Online (Odoo's official cloud, data centers in Europe, simple and managed), Odoo.sh (Odoo's developer platform, more control, staging, testing), or on-premise (a dedicated server at a Luxembourg hosting provider or on your own premises). Most SMEs choose Odoo Online or Odoo.sh. Data is encrypted and backed up automatically.
Since Odoo is open source, your data stays yours and can be exported at any time (databases, reports, documents). If you switch integrator one day, our custom modules follow Odoo standards and can be maintained by any other official Odoo partner. No proprietary lock-in, no technical lock-in.
We work on a package agreed in advance, not on a man-day basis. After an audit and scoping phase, we give you a fixed-price quote that commits Advena to a precise amount. That amount doesn't change, whatever the actual duration of the project. If your needs evolve along the way, we submit a transparent amendment before starting any additional work. Odoo licenses are billed directly by Odoo at their public rate, and we add no margin on them. Our approach is deliberately different from the market, where time-and-materials billing often leads to budgets that spiral out of control. how much an Odoo implementation costs in Luxembourg.
Yes, maintenance is a separate service (see the Maintenance & Support). It covers updates, fixes, and minor enhancements, plus user support. The first 1, 3 or 6 months of post-launch support are included in our integration packages depending on the level selected. Beyond that, a monthly maintenance contract keeps your ERP secure over the long term.
