Looking for an "Odoo accountant" means looking for a firm that keeps your books inside your ERP, not beside it. Here is what that coupling changes, who owns your data, and who it does not suit.
In short. An "Odoo accountant" in Luxembourg is not a piece of software, it is an accounting firm that keeps your books directly inside your company's Odoo rather than in a separate tool it keeps to itself. In practice, your sales, purchases and bank feed produce the entries where you already work, the standard chart of accounts (PCN 2020), Luxembourg VAT and the FAIA export are set up in the same database, and you read your accounts in real time. At Advena, bookkeeping inside your Odoo starts from 325 € per month, everything included.
The search "Odoo accountant" usually comes from owners who already run Odoo, or are about to adopt it, and hit one plain question: who is going to keep the books inside it? Most accounting firms work in their own software and will never touch your ERP. Most integrators install Odoo but do not keep your books. Here is what an accountant who genuinely works in Odoo does, what that choice changes day to day, and the questions to ask before you commit.
What is an Odoo accountant in Luxembourg?
An Odoo accountant is a firm that keeps its clients' books inside their own Odoo instance rather than in a dedicated accounting package. It records transactions, prepares VAT returns, draws up annual accounts and runs payroll, but it does so in the system where you already manage your quotes, invoices and stock. The difference is not cosmetic: it removes the wall between your operations and your accounting.
In Luxembourg, this way of working assumes the tool is properly localised. Odoo ships with a Luxembourg localisation, but it has to be checked and adapted to your activity, as we explain in our guide to setting up Luxembourg accounting in Odoo. An accountant who knows Odoo but not the PCN 2020, or the reverse, will produce accounts that are technically valid but fiscally wrong.
The real problem: Odoo on one side, the firm on the other
The most common scenario, when a Luxembourg SME moves to Odoo, looks like this. Operations run in Odoo, cleanly. But the accounting stays with a firm that never opens your database. Every month or quarter, someone exports files, sends them over, and the firm re-keys or re-imports on its side. Two systems, two versions of the truth, a fragile bridge between them.
| What happens | Firm in its own tool, beside Odoo | Firm inside your Odoo |
|---|---|---|
| Data flow | File export, transfer, re-import or re-keying | No transfer: a single database |
| Double entry of data | Frequent, with the gaps that follow | Removed |
| Freshness of the accounts | The result next spring | Your position for the current month |
| "We never received your documents" | The year-end classic | The documents are already in the system |
| Operations vs accounting | Two versions to reconcile | One version of the truth |
That bridge has a hidden cost: the time spent reconciling, the unanswered questions, and above all information that reaches you too late to be of use. A firm paid by the hour has no economic reason to remove that bridge, either. We cover this in our article on the cost of an accounting firm in Luxembourg.
What changes when your firm keeps the books inside your Odoo
When accounting lives in your ERP, three things change in practice. First, your flows feed the accounts on their own. Your statements arrive through bank synchronisation, your customer invoices post their own entries, and your vendor bills are read and pre-recorded on arrival. There is no stack of PDFs left to send.
Second, local compliance is handled inside the database itself. The chart of accounts follows the PCN 2020, set by the Grand-Ducal regulation of 12 September 2019 and applicable to financial years opened since 1 January 2020, as we set out in our guide to the standard chart of accounts. VAT is filed on eCDF at the right frequency, a topic covered in our article on Luxembourg VAT returns in Odoo. And the FAIA file the tax authority can request during an audit is generated from that same database, provided the accounts and third parties are clean.
Third, you read your figures while they still matter. An owner wondering in September whether to hire has the year's margin and cash forecast in front of them the same day, on a financial dashboard that shows today, not the closed year. This is what we call real-time accounting, detailed in our guide to the online accountant in Luxembourg.
Already on Odoo, or thinking about it, and looking for who will keep the books inside it? Let's look at your case together.
Talk about your Odoo accountingWho owns the database, and who has access to what?
This is the question people forget to ask, and it matters most. Working inside your Odoo means the database stays yours. Your entries, statements and documents live in your instance, not in software whose inside you will never see. The day the arrangement ends, you don't get a box of binders back: you keep the system and its history, including the ten years of records the law requires you to retain.
Access is set finely. Your dedicated file manager works on the accounting journals, you keep control of your operations, and each side sees what concerns it. Before you hand your books to anyone, three questions are worth asking: where is the database hosted and under which jurisdiction, who can access what, and in which format do I get everything back if I leave. A clear answer on those three points tells you more than a slick product demo.
Do you need to be on Odoo already to work this way?
No, but it is simpler if you are. Two cases arise. If you already run Odoo, the work is to check and complete the Luxembourg localisation, then take over the bookkeeping in your existing database. If you are not there yet, setup includes deploying an Odoo configured for Luxembourg, often as part of a migration from your current tool.
The current version, Odoo 19, has automated the accounting side further, but the local logic still has to come from someone who knows it. The technical and fiscal groundwork is described in our overview Odoo in Luxembourg for SMEs. Migrating is not always the right move in the short term: if your current tool does the job, we will say so rather than sell you a needless project.
Who this model does not suit
Let's be straight, it will save us a pointless meeting. If your only need is to drop off a box of invoices once a year at the lowest price, keeping your books in an ERP in real time will bring you nothing: you would pay for a freshness of information you will not use. If you are a complex multi-jurisdiction holding with transfer-pricing issues, or your document volumes are out of the ordinary, your need calls for a specialist firm, not a fixed fee.
And if you really don't want Odoo, forcing the coupling makes no sense. Our ground is the Luxembourg SME of 1 to 50 employees that wants to stop steering blind and stop keeping its operations apart from its accounting. If that is not your case, we will tell you at the first conversation.
The Advena difference
We did not start with accounting. We first deployed Odoo for Luxembourg SMEs, and we watched the same scenario repeat: a spotless management tool, and the accounting kept beside it, in the dark, by a firm that never opened it. Doing both in the same system fixes the problem at the root. No traditional firm touches your ERP, no integrator keeps your books; that coupling is exactly what sets us apart.
The fixed fee starts from 325 € per month, everything included: day-to-day bookkeeping, VAT and eCDF filing, annual accounts and filing with the trade register, payroll, a monthly review with a dedicated file manager, a monthly report and permanent access to your accounts in real time. No invoice ever lands outside the monthly fee. The full scope of our offer is set out in our guide to accounting firms in Luxembourg.

Can you keep compliant Luxembourg accounting in Odoo?
Yes, once the tool is set up: chart of accounts aligned with the PCN 2020, Luxembourg VAT rates and fiscal positions, filing on eCDF and a compliant FAIA export. Odoo is not compliant by default beyond its base localisation; adapting it to your activity happens at setup.
Do you need to use Odoo already to work with an Odoo accountant?
No. If you already run Odoo, the firm takes over the bookkeeping in your database. If you do not, setup includes deploying an Odoo localised for Luxembourg. A migration from another tool is sometimes simple, sometimes not worth it in the short term, and it is decided case by case.
Who owns the accounting data?
You do. The accounting is kept in your Odoo instance, not in a closed package belonging to the firm. You keep the system and its history, including the records to retain for ten years, even after the arrangement ends. Always ask where the database is hosted, who has access and in which format you get it back.
How much does an Odoo accountant in Luxembourg cost?
The market rarely shows its prices. At Advena, bookkeeping inside your Odoo starts from 325 € per month, everything included, with no hourly billing and no extras outside the monthly fee. It is an entry point, reassessed above a certain volume or complexity, but always announced in advance.
How is this different from a traditional accounting firm?
A traditional firm keeps your books in its own software and collects your documents at period end. An Odoo accountant keeps them in your ERP, fed by your flows continuously, which removes double entry and gives you accounts up to date for the current month rather than a snapshot of last year.
