Point of sale and kitchen, stock and recipes, food purchasing, accounting and VAT: a tour of the Odoo apps that matter to a restaurant, and what each one changes in the dining room and the kitchen.

In short. For a Luxembourg restaurant, Odoo brings together what usually lives in separate tools: the Point of Sale for the dining room and payment, Stock and recipes for food cost, Purchasing for supplies, and Accounting for VAT and the PCN 2020. Each service becomes an entry with no re-keying, and you read your margin dish by dish. Bookkeeping starts at €325 per month.

A restaurant is run on food cost and the till, not on the year-end balance sheet. Yet many owners take payment on a till that does not talk to the accounts, order their supplies by phone, and discover their margin when it is too late to change a menu. Here is which Odoo apps do what in a restaurant, and what each one really changes in the dining room and the kitchen.

The starting point: a till that talks to the accounts

The classic problem in hospitality is not the lack of a till, it is that the till lives on its own. It takes payment and prints receipts, but it says nothing to the accounts or the stock. An ERP flips that: the sale in the dining room becomes an entry, decrements the ingredient stock and feeds VAT, without anyone re-keying anything at the end of the night. It is the continuity between till, stock and accounts that makes the difference, not the till on its own.

Point of Sale: the dining room, the kitchen and payment

Odoo's Point of Sale app runs the service: floor plan, tables, order-taking on a tablet, sending to the kitchen, payment in cash or by card, tips, split bills, till close at the end of service. The order taken in the dining room shows up in the kitchen, and the bill is settled into a clean accounting entry at close. A kitchen display screen avoids the paper tickets that get lost in the rush. We set out what a till linked to the accounts changes in our article on Odoo Point of Sale in Luxembourg.

A word on a common worry, heard from across the border: the certified till. The certification of till software, such as the NF525 standard, is a French requirement. It does not apply to a restaurant established in the Grand Duchy. Your real obligations concern proper accounts and correct VAT returns, not a till label.

Stock and recipes: the real food cost of each dish

This is where a restaurant's margin is won, and it is what the till alone never shows. By describing each dish through its recipe, its spec sheet, you link the selling price to the real cost of the ingredients. Odoo treats that spec sheet as a bill of materials: selling a dish decrements the stock of the ingredients that make it up, down to the quantity. You then know which dish makes money and which loses it, and you see the effect of a rise in the price of butter or beef on your margin straight away, not at the next stocktake.

Tracking the food stock also handles waste, breakage and the count, with use-by dates for fresh produce. The mechanics of stock management are described in our article on stock management in Odoo, and the principle of recipes seen as bills of materials in the one on Odoo Manufacturing. A restaurant activates only a fraction of these functions, but the food cost per dish is worth the setup on its own.

Purchasing: ordering supplies and checking invoices

A restaurant buys every day, often from the same suppliers, and it is a line where money leaks without control. The Purchase app handles orders to suppliers, receipt of deliveries and matching against the invoice, so that you pay only what is actually delivered. Negotiated prices are stored per supplier, and reordering triggers when a product drops below a threshold. We describe this circuit in our article on purchase management in Odoo. For a wine or a product bought from a supplier in another EU country, Odoo applies the VAT reverse charge automatically once the supplier's VAT number is filled in.

Accounting and VAT: several rates to split out

This is where the coupling pays off. In hospitality, a single receipt can carry several VAT rates depending on the products and the mode of consumption, on the premises or takeaway, alcoholic drinks or not. The till has to split these rates, otherwise the VAT return is wrong from the first month. Odoo attaches each product category to the right rate, and the day's sales feed the eCDF return directly on the PCN 2020 structure. The scope of Luxembourg's rates is in our guide to VAT rates in Luxembourg in 2026, and the classification specific to hospitality in our guide to restaurant accounting. On a contested classification, you rely on the official source rather than guessing.

What Odoo does not do on its own, and we will tell you

Let us be straight. Odoo runs a classic restaurant, brasserie or café very well. However, Luxembourg payroll is not natively localised in Odoo: the payslips of waiters, extras and students, with their contributions, we keep alongside, in the same fee. And for a very high volume with online booking, click and collect or delivery across several platforms, some blocks need complementary apps or connectors that must be costed honestly. We tell you at the scoping stage what goes into the tool and what stays alongside, rather than promising everything.

A concrete case

Example given for illustration; it does not correspond to a real client. A forty-cover restaurant in Luxembourg City ran on a standalone till and a stocktake done by feel. The margin seemed fine, but a signature dish on the menu, very popular, had actually been losing money since a rise in the price of fish. By describing the recipes in Odoo and linking the till to the stock, the owner saw it in two weeks, adjusted the portion and the price, and recovered several margin points without touching the rest of the menu.

The cost, and the 70% grant

A first Odoo setup for a restaurant falls within the scope of Luxembourg's digitalisation grants. The Ministry of the Economy's SME Packages - Digital programme reimburses up to 70% of the eligible costs of a project whose quote sits between €3,000 and €25,000 excluding VAT, provided the application is filed before signing. The conditions and the order of steps are in our article on digitalisation grants in Luxembourg.

The Advena difference

A till installer hands you a terminal. An accounting firm asks for your Z reports at month-end. We do both in the same tool: the till, the stock and the recipes are set up by people who also keep your Luxembourg accounts, so the VAT rates, the PCN 2020 and the bank reconciliation are in place from the first go. Your margin per dish and your accounts live in the same place, and your team's payroll fits into the same fee, from €325 per month, everything included, described in our article on what an accounting firm costs.

Frequently asked questions

Is Odoo suitable for a restaurant in Luxembourg?

Yes. The Point of Sale app runs the dining room, the kitchen and payment, stock links recipes to food cost, and accounting picks up sales with the right VAT rates on the PCN 2020. Luxembourg payroll, though, is not natively localised in Odoo and is kept alongside.

Is a certified till mandatory in a restaurant in Luxembourg?

No. The certification of till software, such as NF525, is a French requirement. In Luxembourg, no till certification is required to date; obligations concern proper accounts and correct VAT returns.

How do you find a dish's food cost with Odoo?

By describing each dish through its recipe, treated as a bill of materials. Selling the dish decrements the stock of the ingredients that make it up, and Odoo matches the selling price to the real cost of the ingredients. You then see each dish's margin and the effect of a rise in an ingredient's price.

Does Odoo handle several VAT rates on one receipt?

Yes. Each product category is attached to its rate, and a single receipt can carry several rates depending on the products and the mode of consumption, on the premises or takeaway. Sales then feed the eCDF return. The precise classification of a product is checked against the official source.

Can an Odoo project for a restaurant be funded?

Yes. The SME Packages - Digital programme reimburses up to 70% of the eligible costs of a project between €3,000 and €25,000 excluding VAT, if the application is filed before signing the quote. A restaurant established in Luxembourg and meeting the SME criteria is eligible.

Why Advena?

We are the only Luxembourg accounting firm that deploys the ERP and keeps the books in the same tool. For a restaurant, that means a till and recipes set up by people who also know the VAT rates, the PCN 2020 and payroll, a fee announced in advance from €325 per month, a named manager, and no surprise invoice. We inform you of the rule and apply it for you; on a contested VAT classification, we rely on the official source.

The behaviour described refers to Odoo 19, the latest stable version. VAT rates in force in September 2026, based on the indirect taxation portal; grant conditions on Guichet.lu. The VAT classification of a hospitality product may depend on its mode of consumption: check the official source before any binding decision.
